Pay Range: $130,000 - $160,000 / year
Position Summary
The Operations Coordinator will work closely with management, field and finance teams to ensure that all materials/services/equipment needed for projects and inventory are recorded and acquired according to company guidelines and are delivered on schedule.
Primary/Essential Responsibilities and Duties
• Serves as the liaison between suppliers, project management, foremen, field and finance teams
• Responds timely to purchase requests, understands all requirements; ensures requirements such as description, quantities, arrival dates, and shipment methods meet project requirements
• Responsible for the timely and accurate entry of purchase orders into the system
• Submit bid requests to vendors to secure competitive material pricing for projects and yard inventory
• Provides superior customer service, maintains positive business relations with all vendors and suppliers, and leverages current customer, vendor and supplier relationships
• Manage Deer Park Yard inventory levels. Issue material to projects in accordance with proper inventory procedures and entry into accounting software
• Manage yard personnel as necessary.
• Maintains project status reports and updates delivery schedules.
• Obtains delivery certifications and reviews materials received against orders placed
• Resolves issues with Corp AP to ensure invoices are processed against PO’s.
• Maintains logs and material specification sheets for inventoried materials.
• Assists with verifying open PO’s and receipts for the month-end close.
• Assists with resolving discrepancies between invoices and PO’s.
• Maintains necessary records and files.
• Oversee or perform unloading of delivery trucks as needed.
• Managing the purchasing/disposal of equipment and works with RailWorks management and finance department regarding major acquisitions.
• Submit equipment RFQ’s to suppliers as directed by management.
• Create purchase orders for equipment parts and purchases over certain $ limits.
• Reviewing fleet and equipment utilization monthly and report to management to maximize equipment utilization.
• Review fuel reports, investigate fraud and abuse alerts
• Review speeding and harsh driving reports and alert management of abuse
• Review and monitor vehicle registrations, inspections and distribute insurance cards.
• Initiate equipment transfers or equipment lending as appropriate between various field locations
Required Skills and Qualifications
• A minimum of 2 years purchasing experience in a construction-related industry.
• Working knowledge with communication equipment, electronic components and custom panel builds a plus
• Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume.
• Ability to apply concepts of basic algebra and geometry.
• Ability to multi-task and prioritize competing demands/requests within given time constraints.
• Ability to develop strong professional supplier relationships.
• Exceptional negotiating skills and communication skills.
• Experience working in ERP inventory Systems. Knowledge of JDE, a plus.
• Proficiency in Microsoft Excel and other Microsoft Office applications.
Physical Requirements and Working Conditions
• Works in an office and shop/yard environment.
• Frequently sits for long periods of time.
• Will occasionally require use of hands to evaluate tactile properties of procured materials.
• Frequently speaks, reads, writes, and uses a computer keyboard.
• May require occasional standing, walking, lifting, stooping, or bending.
• Available to deal with after-hours emergencies and call outs
• Travel required approximately 5 percent of the time
