Compensation

$62400 - $72800 / year

Position Summary

The Operations Coordinator will work closely with management, field and finance teams to ensure that all materials/services/equipment needed for projects and inventory are recorded and acquired according to company guidelines and are delivered on schedule.   

Primary/Essential Responsibilities and Duties

  • Serve as the main contact between suppliers, project teams, field staff, and finance.
  • Handle purchase requests promptly, ensuring all order details meet project needs.
  • Enter purchase orders accurately and on time.
  • Request bids from vendors to secure competitive pricing for materials and equipment.
  • Build and maintain strong relationships with vendors and suppliers.
  • Issue materials to projects and record transactions in the accounting system.
  • Supervise yard staff and manage daily yard operations.
  • Track project material status and update delivery schedules.
  • Verify deliveries and match materials received to orders.
  • Work with Corporate AP to resolve purchase order and invoice issues.
  • Maintain accurate inventory records and material logs.
  • Support month-end close by verifying open purchase orders and receipts.
  • Help resolve invoice and PO discrepancies.
  • Keep organized records and files.
  • Oversee or assist with unloading delivery trucks.
  • Manage equipment purchases, disposals, and major acquisitions with RailWorks leadership.
  • Request equipment quotes and create purchase orders as needed.
  • Review equipment and fleet usage to improve efficiency.
  • Monitor fuel reports and investigate any irregularities.
  • Check driving behavior reports and notify management of issues.
  • Track vehicle registrations, inspections, and distribute insurance cards.
  • Coordinate equipment transfers and sharing between field locations.

Required Skills and Qualifications

  • A minimum of 2 years purchasing experience in a construction-related industry.   
  • Working knowledge with communication equipment, electronic components and custom panel builds a plus  
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume.   
  • Ability to apply concepts of basic algebra and geometry.   
  • Ability to multi-task and prioritize competing demands/requests within given time constraints.   
  • Ability to develop strong professional supplier relationships.   
  • Exceptional negotiating skills and communication skills.   
  • Experience working in ERP inventory Systems. Knowledge of JDE, a plus.   
  • Proficiency in Microsoft Excel and other Microsoft Office applications.   

Physical Requirements and Working Conditions

  • Works in an office and field environment.   
  • Frequently sits for long periods of time.   
  • Will occasionally require use of hands to evaluate tactile properties of procured materials.   
  • Frequently speaks, reads, writes, and uses a computer keyboard.   
  • May require occasional standing, walking, lifting, stooping, or bending.   
  • Available to deal with after-hours emergencies and call outs  
  • Travel required approximately 5 percent of the time
