Pay Range: $65000 - $85000 / year

 

Position Summary
The Opertations Assistant ensures that all administrative and office operations run smoothly, efficiently, and according to company policies and procedures. This position will focus on hiring craft employees, assisting in Document Control, and assisting AP & AR on the job level.

 

Primary/Essential Responsibilities and Duties
•    Complete On-Boarding Process for new hires
•    Prepare, transmit, and maintain forms for security clearances and files
•    Assist in ensuring Accounts Payable is current
•    Take lead in Document Control in Unifier and Procore
•    Assist in transmission and maintenance of Documents
•    Administers and controls budgets for contracts, equipment and supplies.
•    Orders and replenishes office supplies.
•    Reviews timesheets for required information inputs time into timekeeping system.
•    Collects timesheets from the field.
•    Coordinates and maintains working project operations files.
•    Schedules appointments and meetings for project operations team.
•    Prepares letters and reports.
•    Produces meeting minutes
•    Arranges for maintenance and repair of office equipment.
•    Prepares and reviews operational reports and schedules to ensure accuracy and efficiency.
•    Analyzes internal processes and recommends and implements procedural or policy changes to improve operations with the project team.
•    Documents, analyzes and coordinates material deliveries.
•    Analyze certified payrolls for compliance

 

Required Skills and Qualifications
•    Associate degree, Bachelor’s degree preferred
•    Accounts receivable and collections experience
•    Familiarity with Project Management softwares such as Procore/Unifier
•    Strong research and resolution skills
•    Strong planning and organizational skills and the ability to meet deadlines
•    Strong data analysis and problem-solving skills; detail-oriented
•    Excellent verbal and written communication skills
•    Computer proficiency in Microsoft Excel and Word and JDE accounting software
 
Physical Requirements and Working Conditions
•    Works in an office environment
•    Frequently sits for long periods of time
•    Frequently speaks, reads, writes and uses a computer keyboard in English
•    May require occasional standing, walking, lifting, stooping, or bending
