Job Summary:

Reporting to the Warehouse, Logistics and Materials Manager, the Warehouse Coordinator provides materials and equipment management functions in a fast paced environment due diligently – planning/prioritizing, shipping and receiving, operating lifting devices, regular cycle counts, storage/warehousing and timely distribution of materials required for the Operations department. The Warehouse Coordinator needs to report and, work under the supervision of the Warehouse Manager, and handles procurement, logistics and warehouse/inventory management functions in an ERP System (i.e. JDE) in a processed and ethical way for GO Maintenance/Client Services.

 

Key Accountabilities:

  • Logistics & Materials/Inventory Management functions for Warehouse and field needs.
  • Tracking of Purchase Orders and coordinating deliveries, tracking and receiving of goods for the Warehouse and field locations.
  • Receiving of goods, reviewing PO’s, Packing Slips and other documentation for Warehouse Manager’s final approval of invoices. Processing of Invoices, Commercial Invoices for international shipments and Bills of Lading.
  • Resolving issues on any discrepancies by following up with Suppliers, Logistics providers and customs/border clearance agents.
  • Maintains Inventory Control Systems/Processes with appropriate inventory levels based on anticipated activity. Inventory reconciliations to be performed/maintained for the Warehouse.
  • Creates, processes and expedites requisitions for material, Return Materials Authorizations (RMA) and equipment; assists the team in ensuring minimum warehouse inventory levels to maintain the railroad and service any program work; responds to all field staff requirements for material and equipment issuance needs.
  • Work closely with Materials Management Personnel on a regular basis and make visible improvements.
  • Assist in assessing current state of inventory processes and in creating best practices.
  • Work on identifying gaps in inventory accuracy and work with the various departments and warehouse management team(s) to correct processes and behaviour.
  • Perform cycle counts on all inventories as mandated – daily/quarterly/yearly.
  • Act upon recommendations for improvement on the material-issuing system functionality to support inventory accuracy.
  • Assist in the evaluation process for applying stock to orders – improve order-picking efficiency.
  • Assist in achieving inventory targets – minimums and maximums.
  • Investigation of documentation of count discrepancies.
  • Development and submission of inventory health reports/cycle count reports and other “adhoc” reporting.
  • Reconcile ERP (JDE) system inventory data and be prepared to provide same day feedback to reporting Manager and department Managers.
  • Performs other unplanned duties/activities as assigned by Warehouse Manager.

 

Qualification and Experience:

  • Completion of Grade 12 (High School Graduation).
  • A minimum of two (2) years of recent related experience including purchasing, supply chain, logistics and responsible inventory management experience.
  • Experience in rail/road and construction industry or project based environment would be considered an asset.
  • Knowledge of warehousing, logistics and materials management required.
  • Knowledge and experience in safe operation of lifting equipment including counter balance forklifts, Raymond Reach lift trucks, hand dolly’s and manual lift trucks. Safe handling experience with forklift propane tanks is also required.
  • Proficiency with Microsoft office including Outlook, Word, Excel – Vlookup & Pivot Table, Access & PowerPoint.
  • Hands on experience with JD Edwards – Procurement & Materials/Inventory Management Module would be an asset.
  • Strong ability to multi-task, organize work, time management skills, prioritizes and work to meet deadlines.
  • Strong attention to detail. Always come up with ideas for improvements.

  • Demonstrated ability to build relationships and work effectively in a team environment.

  • Valid and clean Ontario driver’s license.

 

Working Conditions

  • Work will be primarily in a warehouse environment with a mix of office and in the field outdoors periodically.
  • Available for weekend on-call schedule to respond to calls of a serious nature.
  • Available for rotational shift schedule to satisfy a warehouse 24 hour coverage cycle.
  • Must live within a reasonable distance of the Royal Windsor Facility in Mississauga.
  • Periodic travel to work sites may be required.
  • Periodic use of company owned vehicles while operating within all applicable laws, Safe Work Practices and Standard Operating Procedures.
