Reporting to the S&C Maintenance Manager – GO Maintenance, the GO Maintenance Project Co-ordinator is accountable for a multitude of Signals and Communications Maintenance related tasks under the direction of the S&C Maintenance Manager in accordance with the overall contract scope. This includes but is not limited to safety, documentation control, scheduling, equipment and materials management, resource management, budgeting and invoicing.

Primary / Essential Responsibilities and Duties:

  • Responsible for assisting in the oversight of safety requirements within the work force. E.g. safety compliance, training compliance, adequate PPE availability. Provide reports as required to the S&C Maintenance Manager.
  • Assists with the management of all change orders within the contract (small projects) e.g. GO Maintenance. Including but not limited to budgetary quotes, planning/scheduling resources and equipment, estimating materials and developing material take off lists, ensuring timely procurement of materials, close out.
  • Assists the S&C Maintenance Manager with budget preparation (monthly and annual). In addition you will oversee the daily invoicing ensuring that all costs and revenues are coded appropriately to the budget.
  • Ensure all payrolls are accurate in regards to hours and cost coding of work being completed. In addition you will ensure that all billable hours to the customer are translated into DFA’s as part of the monthly invoice.
  • Assists with the assembly of the monthly invoice to the customer. This includes ensuring accuracy and resolving any payment issues that may arise.
  • Manages all third party work including but not limited to Utility Locates, Grade Crossing deactivations, and Maintenance inspections. You will ensure that all documentation and invoicing are accurate and accounted for on an ongoing basis.
  • Assists with the management of equipment and materials on projects. In addition you will ensure that the materials management plan is strictly adhered to by all field employees working on projects maintaining proper quantities of stock in order to maintain the Rail Road and minimize risk to on time performance.
  • Will maintain frequent internal contact with management across all branches within PNR and the customer to discuss/resolve contract issues, contact with management during presentations may involve seeking approvals, and responding to enquiries.
  • Generally works on own initiative with limited supervision. Work is assigned only in terms of broad objectives and general effectiveness.
  • Assists in the development and implementation of procedures within broad policies of PNR and any customers we work with.
  • Presents monthly status reporting for all areas of responsibility to the Operations and Assistant Managers for review and possibly before submitting to the customer.
  • Errors in judgement by the S&C Maintenance Project Co-ordinator could result in design/maintenance/installation cost increases, disruption to revenue operations and service resulting in loss of revenue to the customer and liquidated damages to PNR, non-fulfilment of contract budget commitments and other financial goals, damage to PNR’s corporate image and credibility.

Required Qualifications

  • University degree in a relevant engineering discipline would be an asset.
  • Requires a moderate knowledge of project management principles and practices, including conceptual planning and scheduling.
  • Must have or rapidly acquire a thorough knowledge of PNR and customer department organizational structure, operations, policies and procedures applicable to the work performed.
  • Must possess a sound judgement with highly developed management, organizational, interpersonal, oral/written communication, and analytical/problem solving skills
  • A demonstrated ability to manage and work with multi-disciplined teams while dealing with complex issues and maintain effective working relationships would be an asset.
  • A demonstrated ability to motivate and influence a diverse group of internal and external contract stakeholders to achieve the goals of the contract would be an asset.
  • The ability to display tact and diplomacy to articulate contract requirements and obtain co- operation and approval from each stakeholder.
  • Ability to assess and reorganize priorities to suit changing requirements.
  • Capable of resolving conflicts between diverse groups and individuals.
  • Familiarity with computers and computer based techniques/applications related to the work are essential.
  • Must have a valid driving licence for the Province of Ontario with clean driving record and ability to travel as required.
