Pay Range: $55000 - $60000 / year
Position Summary
The Payroll Associate gathers, and inputs employee information needed for maintaining HRIS data and processing weekly/bi-weekly payroll, doing so within prescribed timelines and with accuracy, quality, and efficiency, and performing various payroll-related tasks.
Payroll Associate Job Duties
Payroll Processing weekly and biweekly US and Canada includes:
- Austin Lane timesheet uploads into JDE. Coordinate with local and field office for approvals and edit corrections
- Audit and review new hire, terminations, employee changes and tax set-up to ensure payroll is processed accurately
- JDE calculations gross to net payroll, create journal entries, transmit wage payments and ACH bank files,
- Union and Rate Set-up (review of Collective Bargaining Agreements to update JDE tables) if applicable. Coordinate with local office, project managers and legal department for missing data
- Review and set up garnishments in accordance with state laws. Coordinate with Legal Dept
- Audit/Verify payroll in accordance to state, local, province and federal wages as well as CBA agreements union benefits, fringes, 401K, and prevailing wages (only applicable to companies with union)
- Assists with identifying, analyzing and resolving payroll and wage and hour issues for employees
- Run adhoc reports for business needs for workers comp, accounting reconciliations and miscellaneous reports needed by management
- Handles sensitive and confidential information ensuring compliance with RailWorks policies, union contracts, and applicable legal requirements.
- Prepare Accounts Payable check request to remit payments to third party agencies
- Cross Train and act as payroll processor back-up for other payrolls while team members are out of office.
Monthly End and Quarterly processes/account reconciliations
- Reconcile end of the month and quarterly reports for worker’s comp
- Submit monthly payments for Union, & quarterly payment for Washington worker’s Comp if applicable to company.
- Reconcile GL accounts against vouchers for the monthly and quarterly payments.
- ADP Quarterly Tax filing processes and reconciliations for US and Canada
- Work on projects, system testing as needed to comply with regulations or union set-up
- Maintain business registration and research pending tax agency questions for State and SUI payroll accounts
- Quarterly Washington Workers Comp reconciliation and remit payments
- Assist with printing wage reports for union audits, BDO audits and workers comp audits
Summary of Required Skillset
- Member of the Finance team that will ensure accurate processing and recording of company’s payroll, provide timely and accurate financial information, and participate in daily data entry Payroll processing, month end and quarter end financial deadlines.
- Manage workflow to ensure all payroll transactions are processed accurately and timely
- Understand proper taxation of employer paid benefits, pre-taxable and non-taxable calculations
- Process correct garnishment calculations and compliance with state requirements
- Execute time and attendance imports and interface with payroll
- Submit wage payment, tax and bank files to third party vendors
- Ad hoc financial and operational reporting as needed internally and externally
- Multi-state and high volume of payroll processing
- Strong Proficiency in Excel and payroll reconciliations
- Strong Knowledge of federal and state regulations
- Ability to communicate with all levels of management and field offices.
- Strong work ethic, flexible work schedule to accommodate payroll processing, monthly and quarterly deadlines as needed
- High degree of professionalism to deal with sensitive and confidential material
- 2 to 3 years processing payroll from data entry to payroll file submission

- Construction Industry
- Union/Certified Reporting experience
- JD Edwards, Austin Lane
- ADP Workforce, Enterprise, ADP Smart Compliance
- Canadian and US payroll processing/rules
